Advanced Resource Managers are recruiting for an Executive Assistant to join their esteemed Maritime client on a permanent basis.
This is a remote opportunity with occasional travel to Gourock in Scotland. The Executive Assistant will oversee the day to day management of the Chief Executive's office, as well as act as a primary point of contact for internal and external communications to the Managing Director.
Responsibilities
* Assist and represent the CEO/MD in communications with staff, customers, and other stakeholders.
* Handle a variety of issues on behalf of the CEO/MD - referring on and escalating where necessary.
* Keep business priorities in mind and ensure CEO/MD is correctly prepared for and briefed for daily events, as well as inform them of urgent business developments throughout the day.
* Ensure smooth daily operations of the CEO/MD's office.
* Maintain regular contact with directors, Scottish Ministers, Scottish Government, and members of the media.
* Ensure CEO/MD's schedule is always up to date and that they have the correct information for any given event or circumstance.
* Ensure travel and administrative arrangements are completed in a correct and timely manner.
* Assist in preparation of Board Papers, presentations and briefing papers when required.
* Independently research, prioritise and follow up on issues addressed to CEO/MD, including those of a sensitive/confidential nature.
Requirements
* Highly proficient in digital communications (MS Office 365, including Sharepoint)
* Excellent written and verbal communication skills across all levels.
* Ability to handle confidential information with discretion.
* Able to remain calm under pressure and apply diplomacy when dealing with stakeholders
* Excellent interpersonal, organisation and administration skills.
* Ability to handle multiple complex tasks across varying stages of completion.
