Junior Procurement Specialist
Reports to: Procurement Manager
Job purpose: To facilitate the day to day running of the Procurement department and communications both internal and external with our suppliers through managing the Procurement inbox. Using the Procurement system to complete supplier onboarding maintaining the contract database and associated reminders. Analysing spend data and producing reports to identify areas of over-spend, out of contract spend, and opportunities to consolidate supply. To review contracts and supplier terms & conditions, 'red-lining'clauses and negotiating terms with suppliers based upon feedback from the legal team.
Key responsibilities and main duties
- Supplier On-boarding
- Liaising with internal CAT teams who wish to add new suppliers, offering support and assisting them with the process.
- Managing the Procurement inbox, communicating with potential suppliers via email, issuing supplier questionnaires and other due-diligence documents, and running credit checks.
- Issuing Info Sec and Data Protection questionnaires as needed and managing their distribution and approval internally.
- Maintaining internal systems with the relevant details once approved.
Sicon WAP
- To manage the Delegation of Authority matrix, updating to reflect joiners/leavers and job role changes, ensuring accuracy at all times.
- To manage the Sicon WAP purchase order system, creating and maintaining approval routes and updating to reflect joiners/leavers and job role changes, ensuring accuracy at all times.
Reporting, Analysis and General assistance
* Both adhoc and ongoing reporting responsibilities
* Analysis of data to provide useful information on areas such as supplier spend, renewals, credit card usage, risks and compliance.
* Responsibility for updating and maintain Procurement touch-points across the business, such as service desk forms, and FAB page
* Assist the wider Procurement team by conducting supplier research on a project by project basis.
* Facilitate diary scheduling of supplier meetings with Procurement, suppliers and stakeholders.
* General Procurement advice and assisting the wider business with any procurement related questions.
* Any other duties reasonably requested by the Procurement Manager.
* Assist the business by helping source new suitable suppliers for projects on an adhoc basis.
Contract Reviews
* To review supplier T&C's and 'red-line' with suggested amends.
* Liaise with legal team, Data Protection, and Information Security, to complete a full T&C's review and approval.
* Negotiate contract terms directly with suppliers based upon feedback from the full contract reviews.
* Work closely with Procurement Contract specialists to support on larger contract reviews.
* Develop experience of contract reviews and increase knowledge of contract law principles with the aim of progressing to full Procurement specialist role working on higher value or higher risk projects.
