PermanentAdvanced Resource Managers are currently recruiting for an Office, Facilities & Logistics Coordinator to join a successful organisation based in Whiteley.
This is a varied and hands-on role responsible for the smooth running of the office, while providing facilities, administration, events, HR and logistics support across the business. You will be a key point of contact for employees, customers, candidates, suppliers and visitors.
Key Responsibilities
- Manage day-to-day office facilities, maintenance, supplies and equipment.
- Act as the main point of contact for building management, suppliers and service providers.
- Coordinate meetings, customer visits, workshops, conferences and company events, including venues, catering, accommodation and transport.
- Provide project and administrative support, including meeting agendas, minutes, action tracking and documentation.
- Coordinate UK and international shipments of equipment, materials and spare parts, including UK-Austria shipments and customs documentation.
- Maintain spare parts and consumables inventory, monitor stock levels and coordinate replenishment.
- Support HR and recruitment activities, including candidate reception and new starter onboarding.
- Support employee engagement, charity and community initiatives.
- Act as a designated First Aider and Fire Warden, supporting workplace health, safety and compliance.
About You
We're looking for a highly organised and proactive individual with previous experience in office administration, facilities, operations, logistics or a similar coordination role.
You will have:
- Excellent organisational and multitasking skills.
- Strong written and verbal communication skills.
- Experience coordinating meetings, events, suppliers or logistics.
- Excellent attention to detail and record-keeping skills.
- Good knowledge of Microsoft Office, including Outlook, Word, Excel, Teams and PowerPoint.
- The ability to build strong relationships with internal and external stakeholders.
- A flexible, practical and solutions-focused approach.
Desirable: Experience in HR/recruitment support, shipping and customs, inventory or spare parts management, and office health & safety. First Aid or Fire Warden certification is advantageous, although training can be provided.
