PermanentOur client is seeking for a permanent Administrator to join their team based in the south coast.
Prime Tasks and Responsibilities:
* To be responsible for the administration function of the marina; including all computer records and systems are maintained and all relevant invoices and credits notes raised where necessary for berth holders, visitors and commercial tenants in accordance with laid down procedures.
* To issue Annual Berthing invoices and relevant berthing package agreements and update all relevant records relating to annual berthing.
* To allocate berths to annual berth holders and visitors along with the assistance of the Dockmasters and Management team.
* To keep the Marina Manager informed of berthing statistics at all times; to include details of current berth occupancy and vacant berths to use as sales aids for the marina team.
* To be responsible for the administration of tenants overnight berthing, lease berth service charge administration and associated sublet credits.
* To be responsible for the boat yard administration to include all boat lifting and storage ashore invoicing in accordance with laid down procedures.
* To ensure payments are taking at the time of booking or invoices raised as appropriate and in accordance with the Companies strict debt policy.
* To ensure electricity invoices are raised regularly.
* To ensure all relevant weekly KPI, month end and year end returns are completed as required.
* To assist with the collection of all cash, daily banking and associated records in accordance with company policy.
* To assist the Marina Manager with the auditing of all boat measuring within the marina and to maintain up to date records in accordance with the companies measuring policy.
* To operate a strict debt control policy in accordance with company procedure and liaise frequently with the Marina Manager on outstanding accounts. To produce up to date debt information and carry out debt chasing.
* To assist with the coding of Purchase Ledger invoices to pass to the Marina Manager for authorisation.
* To assist with the Petty Cash and Cheques Raised processes and to produce monthly returns where necessary.
* To price fuel deliveries and amend records and EPoS systems as appropriate.
* To ensure that all customer queries are dealt with promptly and efficiently and to keep the Marina Manager informed of their progress at all times.
* To ensure the office telephone is answered in a timely manner, customers are greeted and assistance with serving in the main office is maintained ensuring the highest standard of customer service at all times. To sort and distribute incoming and outgoing mail.
* To ensure that the Marina Manager is aware of any concerns you may have within your scope of responsibility.
* To ensure all legal, HSE and company policies including financial are being adhered to.
* To undertake any other reasonable duties required by the management team.
Working Relationships:
* Internal - Working with marina team members and other of our client's departments to achieve site objectives, whilst complying with all company policies and procedures.
* External - Customers, Tenants, Suppliers and Contractors. Coastguard, other emergency services and various statutory bodies and organisations.
Performance Criteria:
* Health & Safety Compliance - To ensure duties carried out are in accordance with the Company Health & Safety Policy and that all Risk Assessments are understood and adhered to.
* QMS - Deliver operational process and systems in accordance with the quality management systems of our clients Way. All laid down Marina Regulations and company procedures and policies are adhered to at all times.
* Customer Service - Place our customers at the center of all our business practices ensuring outstanding customer care at all points of contact and in accordance with GUEST.
* Brand - Ensure you are in the correct uniform and that it is clean, presentable and well maintained at all times. To ensure the correct PPE is worn when necessary.
* Direct Reports/Team - All dealings with team members are carried out professionally, politely, and respectfully.
* Team Participation - To adopt a flexible attitude towards work location whilst providing the best in customer experience and site cover; driving customer focus to the forefront of your activities.
