Job Description

Job Title: Receptionist/Office Manager
Location: Whiteley, UK
Rate: £10 p/h (1 year contract)

One of the world's largest defence organisations are now seeking an Receptionist / Office Manager to be based on site in Whiteley, on a contract basis. The successful candidate will ideally be currently SC Cleared or must be able to obtain SC Clearance. We cannot consider your application if you do not meet this criteria.

Position Concept:
This individual will be responsible for all aspects of day to day running the office (as outlined below), for approximately 110 staff members. Training will be provided as and when required by the business, and offered to ensure each of the duties can be met.

Required Job Specification:
General Office Duties & Facilities
" Welcoming and signing in of all visitors / New starters
" Management of all conference room bookings and admin account
" Ensuring conference rooms are set up for meetings
" Stationery orders / Post (sending and receiving) DHL etc
" Maintaining general records (parking list/phone lists etc)
" Escorting engineers
" Manage the cleaning team / contractor
" Coffee and tea & lunches for visitors
" Dishwasher
" Travel arrangements for managers / expenses for managers
" Hospitality claims for on-site lunches
" First aider and fire warden trained

Security Point of Contact:
" Take photos of new starters for badges
" Custodian of site passes (e.g. visitors)
" Enforce visitor management process (ELVIS)
" Communicate security related messages to and from Security team
" Support education and awareness initiatives
" Enforce clear desk policy
" Liaise with local FM team and authorities
" Ensure screening of incoming mail
" Hospitality claims for on-site lunches

Typical Minimum Education & Experience:

Candidates would typically demonstrate the following:

" Strong inter-personal skills indicating an aptitude for independence combined with ability for working in a team environment.
" Excellent communication skills - both written and verbal
" Motivated, passionate and agile
" Self-motivated, with the ability to quickly learn new skills, processes and technologies
" Highly organised - able to multi task, plan and prioritise appropriately.
" A high level of energy, concentration and commitment.
" Analytical problem solving ability
" Able to acquire Security Clearance in the UK
" GCSE or A Levels would be an advantage
" Previous Office Management experience is desirable (1-3 Years Minimum)
