Job Description

Job Title: Receptionist
Location: Gloucester, UK
Rate: Up to £25,000
Duration: 12 month FTC (maternity cover)

One of the world's largest defence organisations are now seeking an Receptionist to be based on site in Gloucester on a FTC basis. The successful candidate will ideally be currently SC Cleared or must be able to obtain SC Clearance. We cannot consider your application if you do not meet this criteria.

Position Concept:
This individual will be responsible for all aspects of day to day running the office (as outlined below), for approximately 110 staff members. Training will be provided as and when required by the business, and offered to ensure each of the duties can be met.

Duties / Responsibilities:
o Being the first point of contact to greet visitors;
o Managing the visitors list and issuing appropriate security passes;
o Ensure security requirements, as directed, are adhered to;
o Managing meeting room bookings;
o Provide Meeting Support to the Senior Team
o Primary PoC for programme communications, including management of the Communications Plan activities;
o Taking pass photos of New Starters;
o Signing for deliveries and ensuring recipient collects from Reception;
o Managing incoming and outgoing post;
o Answering calls and responding appropriately;
o Support to the Office Manager and general administrative duties as assigned
o Housekeeping - Keeping reception, kitchen and front of house areas tidy;
o Supplies - Ensuring supplies of catering and stationery are maintained;
o Catering - ordering lunch for meetings etc.
o Arrange Social & Team Events
o Provide cover as required and directed the Office Manager and Programme Support staff during periods of absence.

Required Skills:
o First rate customer facing and communication (oral and written) skills; the ability to listen effectively, react appropriately to feedback and construct an effective working environment
o Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures and terminology.
o Be organised and methodical, able to work under pressure with a common sense "can do" attitude.
o Good Interpersonal skills including the ability to negotiate to fair and reasonable conclusions.
o Ability to develop constructive and cooperative working relationships with others and maintain these over time
o Be able to work independently; effectively prioritise their tasks, remain pro-active and flexible.
o Good attention to detail.
o Proficient in MS Word, Excel, PowerPoint and Outlook.
o Must possess the highest personal standards and integrity at all times
o Energetic and confident self-starter capable of handling a myriad of enquires/problems using own initiative
o Demonstrate good time management.

Desired Skills:
o Previous experience of UK Defence Industry security environment an advantage.
o Ability to adapt to changing priorities and demands.
o Willingness to take on new challenges
o Discreet in the handling of personal or sensitive information.
o IT skills in MS Project and SharePoint
o First Aid/Fire Marshal Trained
o Knowledge/Experience of Health and Safety in the Workplace
