Job Description

Document Controller

Purpose:

Work with supply chain department, in particular purchasing and sales to establish and maintain a supplier document register for each project and to provide an interface with clients and internal departments to ensure that documents are collected, collated, circulated and controlled effectively and in accordance with applicable directives.

Key Responsibilities: (Key Tasks)

" Process information into the company's system (Microsoft Navision) in a timely fashion - Delivery Note, Goods Receiving Note (DN/GRN)
" Managing and controlling logistics operation- KPI, inventory, transportation, integration of information & customer requirement.
" Monitoring the Inbound/Outbound status and operation, ensuring on time deliveries.
" Daily report on Goods IN/OUT.
" Liaise with sales and service relating to shipping of rental/service assets
" Receiving of items against purchase orders, and moving inventory to storage locations.
" Produce and/or obtain necessary documentation for shipment, like commercial invoice packing list, certificate of Origin, bill of entry, bill of exit, transfer of ownership. (CI/PL/COO)
" Monthly Reconciliation with Custom Department

Internal/External Interaction:

" Supply Chain Coordinator.
" Sales and service department.
" Clients.

Person Specification:
Education / Qualifications:
" Holds a Bachelor Degree in Business Administration
Technical Competencies:
" Familiar with Navision ERP.
Key Skills:
" Working knowledge of Microsoft Office.
" Ability to learn the use of bespoke database software quickly.
" Accuracy of data input and filing.
" Work with minimum supervision.
" Excellent communication skills, both verbal and written.
" Ability to multi-task.
" Flexible.
" Work under pressure.
" Well known in Custom Procedures
Experience:
" Previous experience within an office environment.
QHSE Competencies:
" Maintain behaviour in compliance with client HSE requirements
" Maintain responsibility and accountability through personal commitment and behaviour
" Report any unsafe or environmentally unsound acts and conditions to their immediate Supervisor such that remedial action can be taken to manage the risk.
