Client Services Administrator

Job Purpose
To support the Client Services function by providing all aspects of administrative assistance & support

Key Responsibilities & Tasks
o Ensure smooth running of Client Technical & Customer Services: Respond to incoming telephone calls, managing incoming/outgoing post, filing & photocopying/scanning/Translations as required
o Travel arrangements for the Client Services Team and preparation of travel itineraries, visas etc.
o Managing course bookings from our global dealer network
o Loading courses onto the academy
o Day to day management of the training academy (Technical)
o Assist with the development of training courses where required
o Arrangement and preparation of meetings, catering requirements taking minutes as required
o Coordinate all suppliers with regards to orders (PCR's), contracts, payment (GRN) etc.
o Ensure all accounting issues of Client Services are up to date
o Coordinate weekly movement schedules of Client Service Team
o Diary management and coordination for Client Services Director & Senior Managers
o Updating and maintaining Dealer Directory & eLearning Registration Database
o Preparing invoices to Dealers for technical training course attendance
o Managing internal & external communication - email distribution lists for Dealers etc.
o Supporting Dealer & training events - hosting etc.
o Preparing routine Dealer visit reports
o Following relevant training, process basic in Warranty eScribe Estimates
o Following relevant training, process Warranty Claims within agreed financial limits

Qualifications & Experience
o Good level of PC literacy required: MS Office (Excel, Word, PowerPoint & Outlook)
o Excellent typing skills
o Excellent interpersonal skills and good telephone manner
o Proactive and professional attitude
