I am looking for an Administrator/ Secretary to join a world leading manufacturer in Basingstoke on a 1 month basis (possibly to be extended) paying £10-£13 per hour Ltd.
The successful candidate will provide secretarial/administrative support to the General Counsel and Company Secretary and other senior roles. Key activities include email, diary management and full administrative support.
What you will be doing:
-To provide a full secretarial and administrative service in a timely and efficient manner.
-To manage the diary of the General Counsel & Company Secretary and Deputy Company Secretary, organising appointments, meeting rooms and ensuring that necessary arrangements are made.
-To be responsible for travel arrangements for the General Counsel & Company Secretary and Deputy Company Secretary.
-To manage the expenses of the General Counsel & Company Secretary and Deputy Company Secretary.
-To manage the flow of emails ensuring that they are answered and the necessary follow-up has been initiated.
-To co-ordinate and collate numerical data and information for monthly reports and other ad hoc reports.
-To prepare agendas for relevant meeting and track actions following each meeting.
-Assist in the preparation of documents for plc Board meetings and follow up after Board meetings as requested.
-To produce presentations and reports to support the regular rhythm of activity associated with the Executive Leadership Team and Board activity cycles.
-Pick up enquiries in the absence of other members of the Department as appropriate and arrange for these to be passed on to the correct person;
-To co-ordinate the smooth running of the department (i.e. stationery ordering, distribution of mail.)

What you are expected to know:
-Previous secretarial/administrative experience in a similar role in a corporate environment.
-Ability to demonstrate administrative excellence and skill in using modern functionality and technology to increase effectiveness.
-Excellent organisational and prioritisation skills with the ability to recommend process improvements and efficiencies.
-Proven ability to multi-task and work effectively under pressure, together with excellent attention to detail.
-Ability to operate specialist software packages, e.g. telephone systems.
-Strong communication skills both verbal and written with the ability to communication with people of all levels.
-Highly competent user of Microsoft Office Software, including Word, Excel, Outlook and PowerPoint.
-Maintains confidentiality and act with discretion and integrity at all times.
